Inventory Reporting

Our Inventory Specialist will visit the property as per your instructions to create a detailed inventory, including a Schedule of Condition. This will document the condition of each room and its contents, covering decoration, fixtures, fittings, and additional areas like gardens, balconies, out-houses, and garages.

Property Requirements

The property must be “Inventory ready” when we arrive. All decoration, cleaning, and any necessary work should be completed beforehand.

Photography & Documentation

Each room and area will be individually photographed using dated digital photography. Additional photos will be taken as needed to clarify any details in the final report.

What’s Included in the Inventory
  • All accessible rooms and areas
  • Meter Readings & Serial Numbers: Including positions
  • Appliances
  • Smoke & Carbon Monoxide Detectors: Location, type, and testing (where possible)
  • Keys & Manuals: Any keys and instruction manuals present at the property

Final Report

The completed inventory report will be delivered to the relevant parties on the same day, as standard.

Mid-term Inspection Reporting

Once your inspection is booked, we will notify the tenant(s) in writing with the proposed date and time. We’ll work with them to confirm a convenient date and offer the option for them to attend.

What the Inspection Covers

Our specialist will visit the property to assess its overall condition. The inspection will identify:

  • Obvious damage
  • Repairs needed for the landlord’s attention
  • Unauthorized occupiers
  • Smoking or drug use
  • Pets within the property
  • Rubbish or refuse build-up that could attract vermin
  • The working condition of smoke alarms and carbon monoxide detectors

Documentation

Each room will be photographed using dated digital photography. Additional photos will be taken where needed to clarify the report.

Final Report

The inspection report will be delivered to the relevant parties by the next working day, along with a brief summary of the property’s condition and any issues identified.

Tenant Deposit Deductions

When proposing deductions from a tenant's deposit, adjudicators typically rely on the inventory, schedule of condition, check-out report, and the tenancy agreement terms.


Our Check-out Inspection Service

Horizon offers flexible check-out inspections, with or without the tenant present. If we book directly with the tenant, we'll confirm the appointment and provide guidelines on how to leave the property.


What Happens During the Check-out Inspection?

Our specialist will compare the current condition of the property with the details recorded in the Inventory and Check-in Report, all from an unbiased perspective. Any changes to the property beyond fair wear and tear will be documented and photographed where possible. The report will compare the current condition to the original inventory.


This unbiased, evidence-based report helps the Agent or Landlord fairly assign costs for repairs or cleaning.


What’s Included in the Check-out Report?
  • Key Return: Record and photograph of keys returned by the tenant(s)
  • Cleaning Receipts: Confirmation of any cleaning receipts provided by the tenant(s)
  • Meter Readings: Including serial numbers and locations
  • Smoke & Carbon Monoxide Detectors: Testing where possible
  • Instruction Manuals: Any manuals present in the property

Legionnaires Risk Assessment Reports

The legal duty for landlords who provide residential accommodation to consider, assess and control the risks of exposure to Legionella to their tenants is not new. This requirement stems from the Control of Substances Hazardous to Health Regulations 1989; Section 3(2) of the Health and Safety at Work Act 1974 makes provision for the legislation to apply to landlords of both business and domestic premises.


Our Legionnaires Risk Assessment Reports include:

  • Management responsibilities, including the name of the competent person and a description of your system
  • any identified potential risk sources
  • any means of preventing the risk or controls in place to control risks
  • Monitoring, inspection and maintenance procedures
  • Records of the monitoring results and inspection and checks carried out
